WHO WE ARE LOOKING FOR

The Development Coordinator is a key member of the Philanthropic Services and Fundholder Engagement teams, working closely with the Director, Philanthropy and reporting to the Manager, Fundholder Engagement. They are responsible for providing support to both teams and play an essential role in assisting the teams to meet their growth targets. The Development Coordinator ensures every prospect and professional advisor experience reflects Toronto Foundation’s values: brave, thoughtful action, humility in our relationships, public trust and inclusion above all.

DUTIES AND RESPONSIBILITIES

Philanthropy and Growth

Onboarding of New Funds, Legacy Gifts and Gift Processing

  • Coordinate Toronto Foundation’s new funds process.
  • Coordinate the preparation of new fundholder and bequest agreements and the signing process with donors.
  • Track the status of pending new fundholder and bequest agreements and move agreements through the defined process.
  • Coordinate gift processing with the Finance Team.
  • Coordinate gifts of insurance with the Finance Team.
  • Maintain donor and bequest fund agreement templates.
  • Facilitate smooth onboarding for prospects becoming fundholders, including liaising with the Fundholder Engagement Team for an effective handover.
  • Continually seek process improvements.

Database Management

  • Ensure prospect profiles and background notes are kept up to date in a timely manner.
  • Maintain and update the database as needed with regards to donors, prospects, community organizations and other external stakeholders.
  • Serve as the team’s systems lead for Salesforce and the online donor portal.

Prospect and Professional Advisor Development

  • Create and maintain prospect tracking reports in Salesforce to be shared with the Philanthropy and Growth Team on a regular basis.
  • Support the creation of email communications and other materials for targeted prospects.
  • Support email and in-person connections with professional advisors including events and philanthropic support for their clients.
  • Plan and coordinate learning and/or social events for engaging and stewarding Toronto Foundation’s professional advisor network.
  • Liaise with the Communications Team regarding website content, any necessary socials and marketing materials for professional advisors. Ensure content is kept up to date.
  • Prepare prospect proposals and presentations in accordance with design standards.
  • Prepare research profiles on identified new prospects.

Additional Administrative Support

  • Receive, sort, prioritize and follow up on multiple incoming inquiries, opportunities, issues and concerns, including those of a sensitive and/or confidential nature.
  • Provide support in dealing with and responding to all correspondence, e-mail and telephone enquiries for the Philanthropy and Growth Team and maintain appropriate filing system.
  • Participate in organizational cross-team activities as needed.

Fundholder Engagement

  • Oversee stewardship inbox and ensure communications are sent out to fundholders in a timely manner.
  • Ensure stewardship communications are accurate, timely and aligned with Toronto Foundation service standards.
  • Prepare and send out thank you letters.
  • Prepare data and list-pulls from Salesforce as needed for the team.
  • Provide backup support to the Fundholder Engagement Team including projects such as donor events, donor grant requests and general inquiries from donors.
  • Support the Fundholder Engagement Team in delivering superior stewardship in service of donor retention.

OTHER DUTIES

  • Participate in cross-organizational projects and events; occasional evenings /weekends required.

PROFESSIONAL DEVELOPMENT

  • Develop and maintain proficiency in Salesforce and other platforms, programs and tools.
  • Attend relevant workshops and training and undertake other professional development opportunities to build administrative and development skills.
  • Stay on top of technological and process opportunities to improve
    communications efficiency and modernization.

REQUIRED QUALIFICATIONS

Skills, Attributes and Experience

  • Relevant post-secondary education or equivalent experience.
  • Experience in a nonprofit, philanthropic, financial services, legal, or professional services environment is an asset.
  • Highly organized with strong project management skills and attention to detail.
  • Results-oriented with the ability to effectively manage multiple and competing priorities, timelines and deadlines.
  • Ability to work effectively and positively with a broad range of stakeholders reflecting the diversity of our city.
  • Ensures personal, customized, thoughtful and attentive donor service.
  • Strong communication skills, both written and verbal.
  • Works well independently and in a team environment.
  • Proven team player who builds and maintains strong working relationships.
  • Exercises maturity and good judgement.
  • Ability to manage confidential, sensitive material with discretion.
  • Proficiency with PowerPoint, Word (e.g. formatting, merges) and Microsoft Outlook.
  • Solid experience in Excel would be an asset (e.g. formatting, formulas, pivot tables).
  • Experience with a CRM system such as Salesforce would be an asset.
