Who We Are Looking For

Reporting to the Director, Enterprise Systems, Data & AI, you will lead business analysis and manage agreed improvements to Toronto Foundation’s processes, systems and reporting. This is a hands-on role combining analytical expertise, project delivery and leadership across teams.

You will work with staff to understand business needs, investigate recurring issues and translate requirements into practical solutions. You will manage assigned initiatives from discovery and process design through testing, implementation and adoption, assessing whether changes deliver the intended improvements.

Working with Finance, Fundholder Engagement and other teams, you will strengthen data quality, develop trusted reporting and help colleagues use information efficiently and effectively. You will implement agreed data standards in partnership with business owners, who retain responsibility for their processes.

The Director sets enterprise direction, governance standards and overall priorities. Within those priorities, you will independently manage delivery, coordinate staff and external partners, and bring forward recommendations when decisions involve competing needs, resources or risks.

You bring sound judgment, curiosity and the ability to build agreement across teams. You are comfortable working through ambiguity, explaining technical issues clearly and helping colleagues adopt more effective ways of working.

Key Responsibilities

Business Analysis & Process Improvement

  • Lead stakeholder interviews and workshops to understand business needs, identify root causes and define desired outcomes.
  • Map current and future processes, identifying opportunities to simplify workflows, reduce manual effort and strengthen controls.
  • Translate business needs into documented requirements, process flows and acceptance criteria.
  • Assess improvement options based on impact, effort, dependencies and risk, recommending priorities to the Director.
  • Build agreement across teams on proposed improvements and escalate unresolved trade-offs with clear recommendations.

Data Quality, Reporting & Insights

  • Manage the development and maintenance of agreed organizational reports and dashboards, ensuring they are accurate, useful and accessible to appropriate users.
  • Work with business owners to establish consistent data definitions, validation rules and reporting requirements.
  • Investigate discrepancies across enterprise systems and coordinate lasting solutions to recurring data quality issues.
  • Implement and monitor agreed standards for data reconciliation, historical data correction and quality assurance.
  • Translate findings into clear insights and recommendations that support operational, management and governance reporting.

Implementation & Staff Enablement

  • Manage assigned improvement initiatives, including scope, milestones, dependencies, risks and coordination with staff and external vendors.
  • Coordinate user acceptance testing, document issues and obtain business-owner validation before changes are introduced.
  • Assess the implications of proposed changes for data integrity, access permissions, financial controls and business continuity, escalating concerns as appropriate.
  • Develop practical procedures and training materials, and support staff in adopting new processes, reports and tools.
  • Measure the results of implemented improvements, including reductions in manual effort, errors, rework and turnaround time.
  • Identify suitable opportunities for automation and AI within Toronto Foundation’s approved frameworks, with appropriate safeguards and validation.

Team & Organizational Leadership

  • Supervise, coach, and support the development of a direct report including goal-setting, performance reviews, and professional development planning.
  • Help drive Objectives and Key Results (OKR) development and delivery as part of the team, contributing to organization-wide strategy implementation.
  • Foster effective teamwork and accountability for delivering on commitments.

Other Duties

  • Participate as a member of the management team.
  • Direct report has clear objectives, regular feedback and development support, with work delivered to agreed quality standards and timelines.

Professional Development

  • Maintain strong working knowledge of Toronto Foundation’s CRM, ERP, reporting and related enterprise platforms.
  • Pursue professional development in business analysis, process improvement, data management, project delivery and change adoption.
  • Evaluate emerging tools and practices for their practical relevance to Toronto Foundation and share useful learning across teams.

  • Strong reporting and communication skills, including explaining technical issues clearly to non-technical audiences.
  • Ability to develop test plans, coordinate user acceptance testing and validate results against business requirements.
  • Ability to document processes, develop practical guidance and support staff learning and adoption.
  • Sound judgment in handling sensitive information, applying controls and escalating decisions beyond delegated authority.

Required Qualifications

  • Minimum 4 years of relevant experience across business analysis, process improvement, enterprise systems, data or reporting, including demonstrated responsibility for delivering initiatives across teams.
  • Proven experience managing improvements from requirements gathering through testing, implementation and adoption.
  • Hands-on experience working with CRM and ERP systems and understanding how information flows between them.
  • Strong Excel skills and experience developing reports or dashboards using business intelligence tools.
  • Demonstrated ability to work independently, coordinate internal and external contributors, and communicate clearly with technical and non-technical audiences.
  • Relevant post-secondary education or an equivalent combination of education and practical experience.

Preferred

  • Experience with Salesforce, Sage Intacct and Power BI.
  • Experience using SQL or Power Query to prepare, connect and analyze data.
  • Experience in nonprofit, philanthropy, finance or grantmaking environments.
  • Experience applying automation or AI tools responsibly to improve business processes.
